How Ratified Handles AML/CTF Compliance

The 6-step Agent Workflow

Step 1, Engage

Understand who you are acting for and what service you are providing — sale, purchase, lease, development sales, or auction. The service type drives the customer due diligence pathway, so getting this right at the start saves rework later. The agent captures the customer’s full legal name, contact details, and entity structure if there is one. For real estate workflow, this is the start of every buyer, seller, landlord, or tenant file.

Step 2, Verify with Ratified

Trigger the verification through the Ratified QR code or a secure link sent to the customer’s mobile or email. The customer completes the ID check on their own device. The agency never handles, scans, or stores the identity documents. The Document Verification Service confirms the ID against the issuing authority, the liveness check confirms the person, and the platform screens against sanctions, watchlist, and politically exposed person databases.

Step 3, Risk check

Once the verification result is back, run the in-platform risk questionnaire. Score the customer against behaviour, ownership structure, jurisdictions, transaction features, and how instructions are being given. Higher-risk profiles (politically exposed persons, complex trusts, foreign owners, unusual source of funds) trigger an Enhanced Due Diligence workflow with additional questions and source-of-funds evidence. The agent does not have to decide what is risky. The platform applies the methodology and surfaces the result.

Step 4, Record facts

Record what happened. Dates, times, what was requested, what was refused, inconsistencies observed. Use neutral language. Describe facts, not labels. Every action is time-stamped to the user, every file note attaches to the customer record, and the audit trail builds itself as the agent works. No separate spreadsheets, no email threads, no parallel record systems.

Step 5, Escalate if needed

If anything looks off, escalate to your compliance officer through Ratified. The agent does not investigate, does not decide, and does not alert the customer. The compliance officer reviews the file, applies the no-tipping-off rule, and decides whether a Suspicious Matter Report goes to AUSTRAC. The platform produces the SMR draft and lodges it from the same workspace. Escalating early on a reasonable concern is the correct call. Waiting for certainty is not.

Step 6, Proceed or decline and secure records

Once the file is cleared, mark the customer approved and proceed with the engagement.
If the checks cannot be completed to agency standard, pause or decline and escalate.
Either way, the file is secured, the audit trail is locked, and the record is retained
for the 7 years AUSTRAC requires. The customer leaves with a Ratified verification
